Useful information

Materials for examining food products

Delivery documents, photographs, labelling, storage information and preparation of samples.

For the first enquiry

  • Product name, type and characteristics, manufacturer and batch number, where available.
  • Quantity, packaging type, production and delivery dates, and the stated shelf life.
  • Purpose of the study, valuation date and description of the defects discovered.
  • Overall photographs of the batch, individual product units, packaging and legible labels.
  • Contract, specification, delivery notes, universal transfer documents (UPD), acceptance record or record of identified defects.
  • Questions posed, formal claim and documents relevant to the task.

Storage and transport information

  • The manufacturer's stated storage and handling conditions.
  • Temperature and humidity logs, data logger records and equipment information, where available.
  • Transport documents and dates of loading, delivery, unloading and product handover.
  • Inspection records and information on packaging damage, changes to the batch and its movements.
  • Photographs and documents allowing comparison of the condition on delivery with the condition when the defects were discovered.

Samples are transferred by agreement

Do not send products before agreeing on the study. For each product type, the quantity, sampling procedure, packaging, transport, time limits and storage conditions are determined. Preserve batch identification and records of sampling, handover and changes to the object. A sample you select yourself is not automatically considered representative of the whole batch.

Preservation and condition of products

Do not alter the object merely to take a photograph or submit an inquiry without agreeing on the necessary actions. Report any opening, movement, freezing, thawing or other changes. Do not consume products showing signs of spoilage or test their suitability by tasting them. Safe handling and the permissible sample-retention period are determined with regard to the product type and task.

Review, files and personal data

For a review, provide the complete report, appendices, test records, sampling information, photographs and source documents. The form accepts JPG, JPEG, PNG, PDF, DOC, DOCX, XLS, XLSX, TXT, RTF, HEIC and ZIP: up to 10 files, up to 10 MB each and no more than 15 MB in total. Videos and large materials are transferred separately through an agreed channel.

Send only the information needed. Where possible, conceal unnecessary personal data of employees, representatives and other persons in records, delivery notes and correspondence. Processing third-party data requires a separate lawful basis.

Source information for determining batch and remaining-stock value

If a value-related question is posed, also state the date for which the calculation is needed, the goods' location and their actual quantity. The quantity purchased may differ from the quantity remaining at inspection: some may have been sold, used, returned or disposed of. These movements should preferably be supported by accounting records and linked to the batch under examination.

Describe separately products without reported changes, goods with identified defects and remaining stock whose condition could not be verified. Mixing these groups may distort both the quantity used in the calculation and the chosen comparison method. Expiry, packaging damage and established spoilage also require separate descriptions of the circumstances.

For comparing prices

  • Preserve the product name and characteristics, grade or category, pack size and packaging type.
  • State the unit of account: item, kilogram, package or box, and the contents of each transport unit.
  • Provide the delivery terms, batch size and available documents showing the actual price.
  • Indicate whether the amounts provided include delivery, packaging and other components.

The unit price of undamaged goods and the value of the actual remaining stock are different measures. It is useful to state explicitly in the assignment what must be determined: the value of a specific quantity on a given date, changes in commercial condition or a review of a completed calculation. This helps avoid counting the same losses twice.
